Zoho Books, Set Up So It Passes a Tax Audit in Jaipur

Choosing accounting software used to be an operational preference. Since 1 April 2026 it is a disclosed item in your tax audit report. Rule 46(8) of the Income-tax Rules requires electronic books to stay accessible in India and be backed up daily on servers physically located here, and Form No. 26 asks your auditor to state your software name, your server IP address and the country your books are stored in. Government fee — paid by you at actuals

There is no government fee on setting up accounting software. Your Zoho Books subscription is paid by you directly to Zoho, not through us and not marked up by us, and we deliberately do not publish Zoho’s pricing here because it changes and a stale figure on a page is worse than no figure. Plan tier is driven by the number of GSTINs you file from rather than by turnover, and plans carry annual document caps as well as user and GSTIN limits, so confirm the current position on Zoho’s own site before you budget. Setup is a fixed-fee project and running the books afterwards is a separate monthly service, priced separately so you can take one without the other.

How it works

Step 1

Assess and decide

Zoho Books against Tally against staying where you are, plus the data centre position and the plan tier. Fixed quote within one working day.

Step 2

Create or correct the organisation

In the India region, with fiscal year, base currency, GSTINs and document numbering set before any record is imported. Organisation structure is decided here because it is the part that cannot be cheaply reversed.

Step 3

Design the chart of accounts

By a CA, mapped to how you report and to Schedule III where that applies, with tags and cost centres for the dimensions you manage by. Zoho ships a usable default and keeping it is where most self-implemented setups go wrong.

Step 4

Configure GST, masters and feeds

Every GSTIN, place of supply, current rates, HSN and SAC on the item master, e-invoicing where the threshold applies, then contacts, items and opening balances from the trial balance at party level, then bank feeds.

Set users, then document the position

Access by role rather than a shared password, because an audit trail that attributes everything to one login answers nothing. Then the compliance pack: data centre confirmation, backup evidence, audit trail note and, for companies, the Rule 3(6) particulars for the Registrar.

Evidence your auditor will actually accept

A CA who certifies the Rule 46(8) position incorrectly faces a ₹10,000 penalty personally, so they will want a server location confirmation from the vendor, backup logs and IP details rather than an assurance. Assembling that at setup takes an afternoon.

The plan is chosen on GSTINs, not turnover

A business registered in four states cannot file from a Standard plan whatever its turnover, and annual document caps bite silently partway through the year. Both are ten minutes of thought at setup and an expensive migration afterwards.

An audit trail that means something

Zoho logs every change with timestamp and user, on every plan including the free one. That is worth nothing if the whole team shares one login, which is the commonest small-business setup. Roles take twenty minutes.

Companies pick up an ROC filing by moving to cloud

Rule 3(6) requires annual intimation to the Registrar of the service provider name, its IP addresses and location, and the cloud address. It did not exist when the books sat on an office machine, and very few implementation partners mention it.

We will tell you when Zoho is the wrong answer

Batch and serial tracking, job work and multi-godown valuation are handled better in Tally, and tracked inventory does not survive bulk historical imports. For manufacturers we frequently recommend a hybrid: financials and GST in Zoho, inventory where it works.

Frequently asked questions

Look at your address bar when you are logged in. The domain identifies the region: zoho.in is the India data centre, zoho.com is the United States, zoho.eu is Europe. The region was fixed when the organisation was created and Zoho does not replicate data across regions, so whatever it says is where your books actually are, including the backups. It takes thirty seconds and a surprising number of Indian businesses find they are not in India.
