MIS Reports for Small Businesses: What to Include and How Often
What a monthly MIS report for a small business should contain: P&L vs budget, cash flow, receivables and payables ageing, margins and KPIs, by sector.
An MIS (management information system) report is a short monthly pack that tells the owner how the business is doing: profit against budget, cash in hand and coming in, who owes you money, what you owe, and the few numbers that drive your business. A good MIS fits on a few pages, arrives within a couple of weeks of the month end, and leads to decisions.
What a small-business MIS should contain
| Section | What it shows | Question it answers |
|---|---|---|
| Summary | Sales, gross margin, net profit and cash for the month and year to date | Are we on track? |
| Profit and loss vs budget | Actual against budget and last year, with variances | Where are we over or under? |
| Cash flow | Opening cash, receipts, payments, closing cash; next 8–13 weeks forecast | Can we pay what is due? |
| Receivables ageing | Amounts due by customer and age | Who must we chase? |
| Payables ageing | Amounts owed by supplier and due date, including MSME suppliers | What must we pay, and when? |
| Margins | Gross margin by product, service or channel | What actually makes money? |
| KPIs | Three to six business-specific measures | Are the drivers moving the right way? |
| Compliance | GST, TDS, PF and ROC due dates and status | Are we exposed? |
KPIs by type of business
- E-commerce: orders, average order value, return rate, contribution margin per order, marketplace fees as a share of sales.
- Services and agencies: billable utilisation, revenue per employee, debtor days.
- Trading and distribution: stock days, gross margin by product line, debtor and creditor days.
- SaaS: monthly recurring revenue, churn, customer acquisition cost.
How often and how fast
Monthly suits most small businesses, with a weekly cash report if cash is tight. The pack is only as good as the books behind it, so it depends on a monthly close: bank reconciliations, sales and purchases posted, and accruals. See the monthly bookkeeping guide.
Start with a budget, even a simple one. A P&L without a budget tells you what happened; with one, it tells you what to do.
From the accounting software
Tally and Zoho Books both produce the core statements; the MIS pack adds budgets, comparisons, ageing and KPIs, usually in a spreadsheet or dashboard. Map your chart of accounts so the reports group expenses the way you manage them.
