What Is Accounting Data Migration?

Accounting data migration is the process of transferring financial records and related master data from one accounting system or data structure to another. A reliable migration normally includes data mapping, field validation, opening-balance checks, transaction testing and reconciliation between source and destination records.

The exact migration method depends on the systems involved, export/import capabilities, data volume and the historical information that needs to be retained.

What We Can Migrate or Convert

Depending on the source and destination systems:

  • Chart of accounts
  • Customer master
  • Vendor master
  • Item/product master
  • Tax-related accounting fields where supported
  • Opening balances
  • Bank and cash accounts
  • Accounts receivable balances
  • Accounts payable balances
  • Fixed-asset information
  • Selected historical transactions
  • Journal data
  • Invoice and bill data where supported
  • Accounting dimensions, cost centres or classes where supported
  • Supporting mapping schedules

Migration Approaches

Opening-Balance Migration

Move agreed opening balances while retaining historical source-system records separately.

Historical Transaction Migration

Transfer selected historical transactions where both systems support the required fields and transaction structure.

Master-Data Migration

Move customers, vendors, items and other master records while setting up the destination accounting structure.

Hybrid Approach

Keep older records in the legacy system while migrating current-period masters and opening balances to the new system.

The appropriate approach depends on reporting requirements, system capabilities, data quality and the need for historical access.

Data Validation & Reconciliation

Migration should not be treated as complete merely because records successfully import.

Depending on scope, validation may include:

  • Source versus destination account balances
  • Trial-balance comparison
  • Customer balance comparison
  • Vendor balance comparison
  • Bank and cash balance comparison
  • Record counts
  • Debit/credit totals
  • Invoice and bill totals
  • Opening-balance reconciliation
  • Selected transaction testing
  • Master-data duplicate review
  • Exception-list review

Important Data & Security Boundaries

Migration work involves financial records and may involve customer, vendor, employee or other sensitive information. Access should be limited to what is required for the engagement, with appropriate credentials, exports and transfer methods.

We do not describe a migration as “lossless” or “error-free”. Reconciliation and exception review are important controls, but no migration process guarantees that every historical data issue will be identified.

Data retention, backups, access permissions and security responsibilities should be clearly agreed between the parties and relevant software providers.

Common Migration Problems

  • Source and destination charts of accounts do not match
  • Customer/vendor names contain duplicates or inconsistent formats
  • Opening balances do not reconcile
  • Historical data contains incomplete fields
  • The destination system has different transaction structures
  • Tax or accounting fields cannot be mapped one-to-one
  • Old data is too large or poorly structured for direct import
  • Users expect every historical report to look identical after migration
  • Migration is performed without a test conversion
  • There is no documented cut-off date between old and new systems

Pricing

Migration is scope-based. Pricing depends on source and destination systems, number of entities, data volume, historical-period requirements, master-data complexity, cleansing needs, testing and reconciliation requirements.

How it works

Step 1

Source-system assessment

Identify the source system, data structure, export options and historical-period requirements.

Step 2

Destination-system review

Understand the target chart of accounts, fields, tax configuration and import capabilities.

Step 3

Migration scope definition

Decide what will be migrated, archived or recreated.

Step 4

Data mapping

Map source fields to destination fields and document transformations.

Step 5

Data cleansing

Identify duplicates, invalid fields, incomplete records and inconsistent naming where in scope.

Step 6

Test migration

Migrate a representative sample before the main conversion.

Step 7

Validation and reconciliation

Compare record counts, balances and selected transaction totals between systems.

Step 8

Final migration and handover

Execute the agreed migration and provide mapping/reconciliation documentation.
