When Should You Move from Tally to Zoho Books: 1 April or Mid-Year?
Choosing the date to move from Tally to Zoho Books: start of year vs mid-year, what to carry over, GST and e-invoicing, and how long to keep Tally data.
The cleanest date to move from Tally to Zoho Books is the first day of a financial year, 1 April: you carry over only the closing trial balance, open invoices and stock, and the whole year sits in one system. A mid-year move works too, but you either import the year's transactions so far or accept a year split across two systems, and that adds reconciliation work at the year end and for the audit.
Start of year vs mid-year
| Move on 1 April | Move mid-year | |
|---|---|---|
| What you import | Closing trial balance, open invoices and bills, stock | Same, as on the migration date, plus optionally the year-to-date transactions |
| Reports for the year | All in Zoho Books | Split, unless you import year-to-date data |
| Year-end and audit | One system | Two systems to reconcile and show the auditor |
| GST returns | Filed from Zoho for the whole year | Earlier months filed from Tally's data; later from Zoho |
| Effort | Lowest | Higher, especially with year-to-date imports |
| Best for | Businesses that can plan ahead | A business that cannot wait for April, such as one losing its Tally accountant |
If you move mid-year, choose a month end
- Pick the first day of a month, after the previous month's GST returns are filed.
- Close Tally to the day before, with bank reconciliations complete.
- Export master data, voucher data, the trial balance and the stock summary as on that date, and import them in the usual order; see our step-by-step migration guide.
- Decide whether to import year-to-date vouchers. It gives you a full-year view in Zoho at the cost of a longer project.
- Run both systems for a short overlap only if you need to; stop posting in Tally once the trial balances agree.
GST, e-invoicing and e-way bills
- Set up the Zoho Books organisation with the same GSTIN, place of business and invoice series; start a new invoice series from the migration date so numbers are not duplicated in the year.
- If you are covered by e-invoicing, connect Zoho to the e-invoice portal before the first invoice; see e-invoicing turnover limits.
- Carry open invoices with their original numbers and dates, so credit notes and payments match the returns already filed.
- Reconcile input tax credit for the months filed from Tally separately before GSTR-9.
Keep the Tally data
Migration does not end the obligation to keep the old records. A company must keep its books for at least eight years, with the audit trail, and the auditor may ask for Tally data for earlier years or the part of the current year kept there. Keep a full Tally backup, with its licence or a read-only installation, and the exported reports. For the storage rules on the Zoho side, see Zoho Books and Rule 46(8).
A planning timeline for a 1 April move
| When | What |
|---|---|
| January | Decide; choose the Zoho Books plan; clean up masters in Tally |
| February | Set up the Zoho organisation, chart of accounts, taxes, invoice templates, users |
| March | Test import of masters; train the team; connect banks and e-invoicing |
| April | Import closing balances once Tally is closed for the year; start live posting |
Opening balances on 1 April can be imported provisionally and adjusted after the audit of the earlier year. Keep a note of the adjustments so the Zoho opening balances match the audited figures.
Frequently asked questions
Q: What is the best time to migrate from Tally to Zoho Books?
A: 1 April, the start of the financial year, so the whole year is in one system and only closing balances and open items are carried over.
Q: Can I migrate from Tally to Zoho Books in the middle of the year?
A: Yes. Pick a month start after the previous month's GST returns, import balances as on that date and, optionally, the year-to-date transactions.
Q: Do I need to keep Tally after moving to Zoho?
A: Keep the Tally data and a way to open it. Companies must keep books for at least eight years, and auditors and tax officers may ask for the earlier records.
Q: Will GST returns be affected by the migration?
A: Returns already filed from Tally's data stay as they are. From the migration date, file from Zoho Books, keeping open invoices with their original numbers so later credit notes and payments match.
Q: How long does a Tally to Zoho migration take?
A: Typically 5 to 10 working days for a single company with a year's data; longer with several years or companies, or large inventories.
